How can I share files through Synology Drive?
Purpose
Synology Drive allows you to share files internally with DSM users or publicly with non-DSM users. This article explains how to set up and manage file sharing.
Environment
- Synology Drive Server version 3.0 or above.
- Synology Drive mobile version 3.0 or above.
- Synology Drive Client version 3.0 or above.
Resolution
Before you start
- Ensure Synology Drive Server is installed on your NAS.
- Ensure you have enabled the user home service or at least one team folder.
- Ensure your account has full read and write permissions for My Drive or the team folder containing the file you want to share.
Setting up file sharing permissions
- Sign in to DSM as an admin.
- Launch Synology Drive Admin Console > Settings > Sharing > Sharing Settings for Non-admin Users.
- Select Allow file sharing and configure your sharing preferences.
Creating a fixed file sharing link
You can customize your file sharing link. Note the following:
- If you do not customize sharing links, the URL for Synology Drive sharing links will change according to different DSM settings. Learn more
- If you want to use QuickConnect for the domain, check that DSM is selected in Control Panel > External Access > QuickConnect > Advanced Settings.

Once you have set up a sync task, you can configure file sharing in the synced folder on your computer. Open the synced folder, right-click on a file, select Synology Drive, and select Get link.

Open the Synology Drive mobile app on your mobile device, tap the icon next to the file you want to share, and tap Share.

Viewing shared files
Files that you share with others will be listed under Shared with others in Synology Drive web portal or mobile app. Here, you can retrieve a file's sharing link, adjust the sharing settings, or stop file sharing.

Generating a Sharing Link Report
Starting with Synology Drive Server 3.1.0, admins can export a list of shared files to audit the number and details of shared files on your Synology NAS, including the user who shared them. Learn more
- Sign in to DSM as an admin.
- Launch Synology Drive Admin Console > Settings > Sharing > Sharing Link Report, and click Export.
- Choose the format (HTML or CSV), a destination folder, the team folders whose sharing links you want to export, and click Export.
Setting up notifications for file sharing
When you share files, invitees will receive notifications via Synology Drive web portal, Synology Chat, or email, provided you and the invitees have configured the necessary settings.

Notes:
- The can comment and can edit permissions apply to Synology Office files only.
- The can comment permission only appears for Synology Office files.
- If you share a file in a team folder, users with permission to that team folder will be able to access the shared file, even if they are not specifically added to the invitee list.
- The Commenter and Reviewer roles only appear for Synology Office files.
- If the file is in a team folder with Restrict file downloading enabled, and you create a public link with Allow options to download and copy, the download permissions will be affected.
- If your account has limited permissions (e.g., read-only) for the team folder containing the file you want to share, you cannot use the sharing feature. To allow your account to share specific files, ask an admin to do either of the following:
- Refer to the "Share with DSM users" sections of this article and grant you the Manager role of the file you want to share.
- Grant you full read and write permissions to the team folder containing the file you want to share.
