Synology MailPlus Settings
Click your account in the upper-right corner and select Settings. In the pop-up window, you can configure the interface, delivery settings, mail protocols, and more.
General
Configure the settings that are related to the mail interface and usage preference:
General
- Items per page: Select the number of conversations to display per page.
- External images: Select between Always display and Ask me before displaying. The latter prevents malicious senders from exploiting externally linked images.
- Split pane mode: Select between Two columns and Three columns according to your preference.
- For two columns, you can further select the format to display messages: One line without preview, One line with preview, and Two lines.
- Conversation view: Choose whether or not to group a message and its replies together in a single conversation thread.
- Language: Select the display language.
- Display density: Select the display density of the conversation list.
- Mark messages as read: Select how long it takes for a message to be marked as read after it is opened.
- Send cancellation period: Select the amount of time to recall a message.
- Set mailbox as Archived: Select a mailbox to store the archived messages.
- Reply from the recipient address the message was sent to: When you make a reply, the system will automatically set your email address as the one where you receive the message. This feature only applies to email addresses specified on Settings > SMTP.
- Enable keyboard shortcuts: Select to manage messages using keyboard shortcuts.
- Enable hover actions: Select to perform the following actions by hovering the cursor over a message: archive, delete, mark as read, and add as a Synology Calendar task.
- Disable displaying the mailbox information of the message: Select to disable showing mailbox tags in the upper-right corner of messages.
- Increase browser cache size to decrease email load time: Select to make emails load faster on MailPlus.
- Convert pasted external images to inline images: Select to convert external images to avoid display errors.
Codepage
- Select the language to use when combining multiple attachments into a .ZIP file. Please select the language the filenames are in.
Mailbox
- Delete mail in Trash: Select from the drop-down menu to delete trash messages received before a specific time.
- Delete mail in Spam: Select from the drop-down menu to delete spam received before a specific time.
- Archive mail in Inbox: Select from the drop-down menu to archive inbox messages received before a specific time.
- Clear Trash on logout: Select to empty Trash every time you sign out of MailPlus.
- Clear Spam on logout: Select to empty Spam every time you sign out of MailPlus.
Integration Settings
- Do not allow creating events in Synology Calendar from dates (Dates will not be highlighted): Select to disable creating events in Synology Calendar for the dates written in messages.
Signature
- Sender email: If you have multiple email addresses associated with your MailPlus account, choose the address you want to use with the signature from the drop-down menu.
- For new messages and On replies/forwards: Set a default signature for new emails or replies and forwards. You can specify different default signatures for each sender email address.
- Signature:
- Click the plus icon to create a signature.
- Select a signature from the drop-down menu and click the pencil icon to edit it.
- Select a signature from the drop-down menu and click the trash can icon to remove it.
Default Text Style
- Select the font style, size, and color.
Theme Customization
Choose a theme from the built-in templates and background pictures.
Auto Reply/Forward
Set up auto forward and auto reply as follows:
- Enable auto forwarding: Select to automatically forward messages to another email account.
- Forward to: Enter the email account you want to forward your messages to.
- Keep original mail: Determine whether or not to keep the original messages.
- Enable auto reply: Select to reply automatically.
- Reply time: Set a time frame during which auto reply is active.
- Subject: Use the template or customize your auto reply subject.
- Message: Use the template or customize your auto reply content.
- Click OK to save the settings.
Mailbox
You can add new mailboxes, as well as edit, delete, and share existing mailboxes.
If you want to hide a mailbox, tick the checkbox under Hide.
Shared Mailbox
Share personal mailboxes with internal users or groups to centralize the communication over a specific project.
To share your mailboxes with others:
- Right-click the mailbox you want to share on the left panel.
- Click Share on the menu.
- Select the users or groups to share with.
- To add a user or group, click Add.
- To remove a user or group, click Delete.
- Assign each user and group access permissions to the shared mailbox:
Permission Access Capability Owner
(the creator of the shared mailbox)- View, manage, and reply to messages in the shared mailbox.
- Manage the shared mailbox and all the sub-mailboxes.
Manage - View, manage, and reply to messages in the shared mailbox.
- Create, delete, and rename sub-mailboxes.
- Delete the shared mailbox.
- Share the shared mailbox with other users/groups and assign access permissions.
Read/Write - View, manage, and reply to messages in the shared mailbox.
- Create sub-mailboxes.
Read only - View messages in the shared mailbox.
- Click OK to save the settings.
- The system will mark the shared mailbox with a group icon and send the intended users and groups an invitation to access the mailbox.
Note:
- When users with read/write or higher permission reply to messages in the shared mailbox, their replies will be visible to those who share the same mailbox.
- When a sub-mailbox is created under a shared mailbox, users will have the same permission on the sub-mailbox as on the shared mailbox by default. You can change the permission on the sub-mailbox afterward.
To view mailboxes shared with you:
- You can change the subscription status of each shared mailbox:
- Under subscription (with a check sign): The shared mailbox will show up in the Shared Mailbox section on the left panel.
- Out of subscription (without a check sign): The shared mailbox will not show up on the left panel.
- Click OK to save the settings.
Filter
Create filters to make email management easier. Incoming messages that meet the criteria will be marked or labeled according to your filter rules.
To create a filter:
- Click Add.
- Fill in at least one criterion and click Continue.
- Tick the desired checkboxes so the matched messages will be automatically marked or moved to the specified mailbox.
- Click OK to save the settings.
Note:
- All filters are case-insensitive.
- Separate multiple keywords with space. Only messages that match all the keywords will be fetched.
- To filter with a keyphrase (i.e., a multiple-word term), enclose it with quotation marks (""), such as "local cuisine recipe". If you have two or more keyphrases, you can type OR between them, such as "local cuisine recipe" OR "traditional home-style meals".
- When the keyword or the keyphrase is made up of Chinese/Japanese/Korean characters and contains no space, only messages that match exactly will be fetched.
Priority Mailbox
Set up a priority mailbox to display messages from various mailboxes or labels for centralized management.
- Select Enable priority mailbox.
- Click Edit to specify the following:
- Section: Select a Mailbox or a Label to fetch messages from.
- Display: Select All to display all messages in the mailbox or under the label; select Unread to show unread messages only.
- Show up to: Set up the maximum number of messages to display.
- Hide when empty: Select to hide the section when there are no new messages.
- To reorder the sections, drag and drop a section to the desired position.
- Click OK to save the settings.
SMTP
You can add another SMTP server for sending messages. For example, you can add the Google SMTP server to send messages via your Google account on MailPlus.
MailPlus Server will be the default SMTP server. No settings can be edited except for the Sender name.
To add an SMTP server:
Fill in the following information:
- SMTP server: Find the SMTP server from the documents of your email service providers.
- SMTP port: The port number will be automatically updated to the required value for SMTP connections over SSL/TLS. By default, port 587 is for SMTP connections over TLS, and port 465 is for SMTP connections over SSL. If you tick none of the SSL and TLS checkboxes, the standard port used for SMTP connections is 25.
- Authentication required: Enable this if your SMTP server requires authentication.
- Username: Enter your email address.
- Password: Enter your email password.
- Secure connection (TLS) required: Select to secure the connections with TLS certificates.
- Secure connection (SSL) required: Select to secure the connections with SSL certificates.
- Sender email: Enter your email address. Note that if it does not match the email address entered in Username, your messages may be marked as spam.
- Sender name: Enter a sender name (also called the "from" name) to let your recipients recognize you.
POP3 Fetch
Add a custom POP3 server or use a predefined one to fetch messages to your MailPlus. To further ensure effective management, you can even set a mailbox, to which all the incoming messages from a specific server (e.g., Gmail) will be sent.
Note:
- When messages fetched via POP3 are sent to any mailbox other than Inbox, filters will not be applied.
- Emails fetched via POP3 are retrieved from other servers through the client side. Therefore, MailPlus Server cannot perform any security scan on these emails.

Mail Encryption
Encrypt your emails with OpenPGP or S/MIME by ticking the checkbox of Enable encryption.
OpenPGP (Pretty Good Privacy)
MailPlus only supports PGP/Inline for encrypting and signing the message body.
- Select OpenPGP from the drop-down menu.
- Choose whether or not to sign or encrypt messages by default. You can sign or encrypt an individual message while composing.
- Click Keys & Certificates to generate and manage OpenPGP keys.
- On the OpenPGP tab, click Generate to get your key pair:
- Name: Enter a name as you like.
- Email: Enter your MailPlus account.
- Passphrase: The passphrase will be used to encrypt and decrypt your private key.
- Click OK to generate a pair of public and private keys:
- Public key: Click Export to download the public key and give it to the sender who should encrypt messages before sending them to you.
- Private key: The private key is used to decrypt messages sent to you. Please keep it to yourself.
- If you need to send others encrypted messages, click Import to upload their public keys from a file or text input.
S/MIME (Secure/Multipurpose Internet Mail Extensions)
- Select S/MIME from the drop-down menu.
- Choose whether or not to encrypt or sign messages by default. You can sign or encrypt an individual message while composing.
- Click Keys & Certificates to manage S/MIME certificates.
- On the S/MIME tab, click Import to upload your S/MIME certificate. Enter the password associated with that certificate.
- Select the certificate that you just uploaded and click Set as Default on the upper bar. Now your S/MIME certificate is installed and configured.
Note:
- You need the intended contacts' S/MIME certificates to exchange encrypted messages. Click on a signed message from the contacts to let MailPlus save their certificates, or ask them to send you one if they haven't already.
- Message contents and attachments of an S/MIME email are not searchable because they are encrypted in the database. Only information such as sent to or from, date, and subject can be found in a search.
Mail Track
Enable delivery and read receipts to confirm if your emails have reached the intended destination and if the recipients have opened them. This feature is compatible with other mail systems that support receipts, such as Outlook, Gmail, and Thunderbird.
Note that you will not receive a receipt if the recipient's mail system doesn't support receipts or if the recipient declines to send them.
To request receipts:
You can choose to request receipts for each email individually or configure the following settings to automatically request a receipt for all emails:
- Always request a delivery receipt: A receipt will be automatically sent when your email reaches the recipient's email server.
- Always request a read receipt
After requesting receipts, you can check the delivery and read status by clicking View details in your sent emails.
To return receipts:
Choose your response method when receiving an email requesting a read receipt:
- Automatically send a read receipt: A receipt will be sent when you leave the email.
- Let me decide whether to send read receipts: You can choose whether or not to send a receipt for each email you open. If you choose not to, the sender will not be able to see when you read the email.
- Prompt me each time I close an email: If enabled, a dialog box appears upon closing the email, asking whether to send a receipt. If disabled, you can manually click Send from the grey receipt banner.
Notification
Install an extension to your browser to receive push notifications from MailPlus.
To enable push notifications:
- Click Install browser extension to pair MailPlus with your browser.
- For Chrome: Click Install Now to install the Chrome extension and sign in to your Google account.
- For Safari: Click Allow to authorize the notification service.
- When the installation is complete, you can return to MailPlus to specify which mailboxes, labels, and shared mailboxes need push notifications.
- Click Send a test message to see if the settings are correct.
Block/Allow List
Block or allow messages from specific email addresses or domains.
To add an email address or domain to the block/allow list:
- Click Add on the Block List or the Allow List tab.
- Enter the email address or domain that you want to block or allow.
- Click OK to save the settings.
To edit an email address or domain on the block/allow list:
- Click on the email address or domain and click Edit.
- Click OK to save the settings.
To remove an email address or domain from the block/allow list:
- Click on the email address or domain and click Delete.
- Click Yes in the confirmation dialog box.
- Click OK to save the settings.
Note:
- The maximum number of total items on the block and allow lists is 10,000.
