Manage Address Books and Contacts
Synology Contacts provides you a platform for centralized management of your address books and contacts. On the homepage, you can see the following three address book categories and the labels you have added:
- Personal address book: The address books under this category are owned by individual users. There are three built-in personal address books:
- My Contacts: The default address book for individual users. You can add, edit, or delete contacts in this address book.
- Suggested: Contacts to whom you have sent an email via Synology MailPlus can be viewed in this address book.
- Starred: Contacts marked by a star can be viewed in this address book. To learn how to star/unstar contacts, please see the section below.
- Shared address book: Personal address books that others have shared with you can be viewed under this category.
- Group address book: Group address books that the administrator shares can be viewed under this category. Only the administrator or users with sufficient privileges can add group address books.
- Team Contacts: A default group address book that contains all user accounts on the Synology NAS. The administrator can click ⋮ to hide a certain user from general users.
- Labels: View contacts to which you have applied labels. You can also add a new label from here by clicking the + button. Renaming or modifying a label will update all contacts with this label.
In the following sections, we will guide you on how to manage address books and contacts in Synology Contacts.

1. Manage Address Books
To add an address book:
There are four methods you can apply to add an address book in Synology Contacts:
- Add a new address book
- Click the + button next to PERSONAL ADDRESS BOOK (or GROUP ADDRESS BOOK) on the menu panel and select Add Address Book.
- Enter a name for your address book in the Address book name field.
- Click Add.
- Import an address book from another source
- Click the + button next to PERSONAL ADDRESS BOOK (or GROUP ADDRESS BOOK) on the menu panel.
- Select Import Address Book, and the wizard will be launched.
- Select one of the external sources from the wizard: Google, Microsoft Outlook, or a CardDAV server.
- Sign in with your user credentials. After the authentication, the contact data from the specified source will be imported to Synology Contacts.
- Import an address book through a file
- Click the + button next to PERSONAL ADDRESS BOOK (or GROUP ADDRESS BOOK) on the menu panel.
- Select Import Address Book, and the wizard will be launched.
- Click vCard or Google CSV File.
- Select a file to import from your computer and click Open.
- Select one of the following modes to import your contact information:
- Import to an existing address book: Select an existing address book from the drop-down menu under this option.
- Import as a new address book: Enter a name for the new address book to which your contact data will be imported.
- Click Import.
- Sync an address book from another source
- Click the + button next to PERSONAL ADDRESS BOOK on the menu panel.
- Select Sync Address Book, and the wizard will be launched.
- Select an external source from the wizard and sign in with your user credentials. After the authentication, the contact data from the specified source will be imported to Synology Contacts.
Note:
- Auto-sync runs once per day. If you need realtime updates, please click the ⋮ on the right side of a synced account > Edit > Sync to manually update the changes.
- Only one-way sync from external sources to Synology Contacts is supported. Any changes made in Synology Contacts will not be updated to the source address books.
- The sync settings will not be migrated during the contact migration from Synology MailPlus. Please set up the sync settings again in Synology Contacts.
- The maximum number of contacts is 12,000 per address book. Please check if your address book adheres to the limit before importing.
To modify an address book name:
- Click ⋮ on the right side of an address book and click Edit.
- Edit the name in the Address book name field.
- Click Save to apply the modification.
Note: You can also edit address books at the Account icon > Settings > Address Book.
To export an address book:
- Click ⋮ on the right side of an address book.
- Click Export to export the selected address book into a vCard (.vcf) file.
Note: You can also export address books at the Account icon > Settings > Address Book.
To share an address book:
Synology Contacts allows you to share address books with others by configuring access permissions of users and groups. Please follow the steps below to share your address books:
- Click ⋮ on the right side of an address book and click Share.
- Click on the Add button, and a pop-up window will show up accordingly.
- Include users or groups to the access control list by ticking the checkboxes and click Add.
- Select either Read Only, Read/Write, or Full Control for each user or group.
- Click Save to apply the settings.
Note:
- Synology Contacts allows local, domain, and LDAP user accounts on Synology NAS to manage their contacts, but data of the three account systems are stored separately. Therefore, address books and contacts owned by one account system cannot be accessed by users in another account system. See this article for more information about account systems.
- When the account system is Domain users or LDAP users, you can also include organizational units (OUs) to the access control list.
- You cannot create, move, or delete contacts in Team Contacts.
- Access permissions granted to Read Only, Read/Write, and Full Control:

To get a CardDAV URL or QR code:
Synology Contacts supports CardDAV protocol, which allows you to access contact data through different devices. Address books on Synology Contacts can be viewed using any CardDAV clients, such as mobile phones and computers. To set up your CardDAV client for viewing contact data stored in Synology Contacts, you have to enter the CardDAV URL or QR code of your address book into your CardDAV client application. Please do the following to get a CardDAV URL or QR code:
- Click ⋮ on the right side of an address book and click CardDAV.
- Select either of the following methods to connect your CardDAV client with the address book:
- CardDAV URL: Copy the URL on the page and enter it into your CardDAV client application. Alternatively, you can copy the URL by clicking
.
- CardDAV QR code: Click
and scan the QR code using the code reader of your CardDAV client application.
- CardDAV URL: Copy the URL on the page and enter it into your CardDAV client application. Alternatively, you can copy the URL by clicking
Note:
- Only one address book will be synced to macOS owing to the structural limitations.
- CardDAV synchronization does not support QuickConnect. Please use the domain name or IP address instead.
- iOS cannot sync accounts with non-English characters via CardDAV.
To delete an address book:
- Click ⋮ on the right side of an address book and click Delete.
- Click Delete in the pop-up message to confirm the deletion.
Note:
- You can also delete address books at the Account icon > Settings > Address Book.
- The deletion of address books is irreversible.
To display/hide an address book:
- Click the Account icon on the upper-right side of the homepage and click Settings.
- Go to the Address Book tab.
- If you want an address book to be viewed in Synology Contacts, tick the corresponding checkbox under the Display header. Otherwise, untick the checkbox to hide this address book.
2. Manage Contacts
To add a contact:
- On the menu panel, click an address book where you want to add contacts.
- Click Add Contact on the upper-right side of the homepage.
- Enter the basic information of your contact. You can also click the More button to fill in more details.
- Click Add.
Note:
- The Full Name field is required for adding a contact.
- There is a limit of 1,024 characters per field, except for the Note field.
To edit a contact:
- Move your cursor to the right side of a contact and click the Pencil icon.
- Click on any field to add or edit information.
- Click Save.
To star/unstar a contact:
By starring contacts, you can view the marked contacts in the Starred address book. Please follow the steps below:
- Move your cursor to the left side of a contact. You can see a Star icon ahead of the contact's name.
- Click the Star icon to make it solid if you want to include this contact into the Starred address book. You can also unstar this contact by clicking the Star icon again to make it hollow.
To copy a contact to another address book:
- Move your cursor to the right side of a contact and click on ⋮ > Copy.
- Select the address book to which you want this contact to copy. Alternatively, you can click the Add Address Book button to add a new address book and copy the contact to it.
- Click Copy.
To move a contact to another address book:
- Move your cursor to the right side of a contact and click on ⋮ > Move.
- Select the address book to which you want this contact to move.
- Click Move.
Note:
- You can also add a new address book by clicking the Add Address Book button and move a contact to it on the Move to… page.
- You can also drag and drop a contact between address books.
- When dragging a contact, you will see the following types of signs below your cursor:
: You can move the contact to this address book.
: You cannot move the contact to this address book.
To delete a contact:
- Move your cursor to the right side of a contact and click on ⋮ > Delete.
- Click Delete in the pop-up message to confirm the deletion.
Note: The deletion of contacts is irreversible.
To configure multiple contacts:
- Click an address book on the menu panel.
- Move the cursor to the Name column on the contact list and click the Circle icons containing the letters that represent contacts, such as
.
- Select one of the following options to configure the selected contacts from the taskbar at the top of the homepage:
- Send an email to contacts
- Apply labels to contacts
- Delete contacts
- Export contacts
- Move contacts
- Copy contacts
- Mark as Starred
3. Search for Contacts
Synology Contacts supports universal search, the ability to search contents in all fields of your contacts through a single search box. Please select either of the following methods that suit your needs:
- Search contacts in a specific address book
- Click any address book on the menu panel.
- Go to the search bar at the top of the homepage and enter some information about the contact you are searching for.
- Press Enter on your keyboard to run the search.
- Search contacts in all address books
- Click My Contacts on the menu panel.
- Go to the search bar at the top of the homepage and enter some information about the contact you are searching for.
- Press Enter on your keyboard to run the search.
4. Organize Contacts with Labels
To add a label:
- On the Synology Contacts homepage, click the + button next to LABEL on the menu panel.
- Enter a label name and select a color for your label.
- Click Add.
To add a label and apply it to a contact:
- Move your cursor to the right side of a contact and click on the Label icon.
- Click Add Label.
- Enter a label name and select a color for your label.
- Click OK. The newly added label will be applied to your selected contact.
To apply an existing label to a contact:
Please do either of the following:
- Drag and drop a label from the menu panel to a contact.
- Drag and drop a contact to a label on the menu panel.
To edit a label:
- Move your cursor to the right side of a label and click on ⋮ > Edit.
- Modify the label name or change the label color.
- Click Save.
To export contacts tagged by the same label:
- Click ⋮ on the right side of a label.
- Click Export to export the contacts tagged by the selected label into a vCard (.vcf) file.
To delete a label:
- Move your cursor to the right side of a label and click on ⋮ > Delete.
- Click Delete in the pop-up message to confirm the deletion.
Note:
- To organize multiple contacts with labels, please refer to the To configure multiple contacts section.
- The deletion of a label is irreversible.
