Managing Comments

The feature of comments allows you and your team members to exchange your thoughts, which is suitable for initiating a brainstorming session.

Managing Comments

To add a comment:

  1. Select the cell that you want to comment on.
  2. Click the Insert comment icon in the toolbar.
  3. Type your comment.
  4. Click OK. A cell with a comment will have a yellow triangle in the upper right corner.

To view a comment:

Move your mouse cursor over a cell with a yellow triangle in the upper right corner, and the comment will appear.

To reply to a comment:

  1. Click on a comment.
  2. An empty field will appear. Type your reply into it.
  3. Click OK.

To mention a user, group, or Chat channel in a comment:

  1. While typing your comment, enter @ followed by a username, group name, or channel name.
  2. Click OK.

To edit a comment:

  1. Click the More icon in the upper right corner of a comment.
  2. Click Edit.
  3. Edit the comment.
  4. Click OK.

Note:

  • You can edit only the comments that you have made. You cannot edit comments made by others.

To delete a comment:

  1. Click the More icon in the upper right corner of a comment.
  2. Click Delete.

Note:

  1. You can delete only the comments and replies that you have made.
  2. If you are the first person initiating a comment thread, deleting one of your own comments will delete the whole comment thread, including comments made by others.

To get the link to a comment:

A comment link directs users to the exact position of the comment in a file, helping users focus on a single comment.

  1. Click the More icon in the upper right corner of a comment.
  2. Click Get link.
  3. You will see a link to this comment. Share the link with other users.

To resolve a comment:

Click the check mark symbol in a comment, and the comment will be hidden from the editing area of the spreadsheet as the yellow triangle disappears. The comment will still be visible in the comment panel (see Using Comment Panel to View Comments below).

Using Comment Panel to View Comments

When collaborating with multiple users, sometimes you may find yourself lost in numerous comments without knowing which ones are still relevant or which ones really involve you. Fortunately, the comment panel is there to make viewing comments a lot easier. Like a news feed, the comment panel displays comments chronologically while also allowing you to filter comments by different criteria.

To view comments chronologically:

  1. Click the comment panel icon near the upper right corner of the screen.
  2. All comments made to this spreadsheet will be listed here, with newer ones on the top.
  3. You can click on a comment in the comment panel to scroll the page to the location of the comment.

To filter comments:

  1. Click the comment panel icon near the upper right corner of the screen.
  2. Click the triangle next to All comments to open the drop-down menu and select one of the filtering criteria:
    • All comments: Displays all comments
    • Mention me: Displays the comments that mention you
    • Resolved: Displays resolved comments
    • Unresolved: Displays unresolved comments
    • Revisions: Displays revisions that users have made
  3. You can also select Hide resolved after selecting one of the above criteria.

To mark a resolved comment as unresolved:

  1. Click the comment panel icon near the upper right corner of the screen.
  2. Find a resolved comment.
  3. Click the check mark symbol in the comment, and the comment will be displayed again in the editing area.

Changing Notification Settings for Comments

You can modify the notification settings for comments at the comment panel.

To change the notification settings for comments:

  1. Open a spreadsheet.
  2. Click the comment panel icon near the upper right corner of the screen.
  3. Click the Settings icon, which is in the shape of a bell.
  4. Select if you want to receive notifications for all comments or only the comments that mention you. If you do not want to receive any notification, select Don’t notify me.
  5. Select how you want to receive notifications for comments. There are three places where you will receive notifications:
    • Notification Center: Located in the left sidebar on the homepage of Office.
    • Email: You need to set up an email first before selecting this option. To do so, click the Account icon in the lower left corner of the screen, select Settings, enable Email notification in the General tab, and enter your email in the Profile tab.
    • Chat message: Available when Synology Chat has been installed on your Synology NAS.

Note:

  • For files created by others, by default you will only receive notifications for the comments that mention you. You can always change the settings manually.
  • Each file has its own notification settings for comments. Changing the notification settings of one file will not change the notification settings of other files.
