How do I set access permissions for Synology Photos Shared Space?

This article introduces the complete permission setup for Shared Space folders.

Configure Shared Space access permissions

To set access permissions for Shared Space folders, sign in to Synology Photos with an administrator account. Click the Account icon, go to Settings > Shared Space, and click Set Access Permissions. You can choose between two access levels:

  • Full Access:
    Grants users administrator privileges and allows them to perform all available operations. Users in the administrators group have Full Access permission by default.
  • Custom:
    Allows users to open Shared Space but cannot see any folders without further settings. You need to configure individual folder permissions for them to access (details).

Grant Custom users access to individual folders

Custom users can see Shared Space, but the available operations depend on the permission settings of each folder. You can configure folder permissions in batch or individually:

  • Configure in batch:
    Go to Settings > Shared Space > Set Access Permissions, find your target users, and click Assign 1.png.
  • Configure individually:
    Go to Photos > Folder View, select a folder, and click 1.png > Set folder permissions (if the button doesn't appear, see here). Set the Privacy Settings and add users to the Invitee List.

Depending on the level of the folder, you may also need to set permissions for its parent or subfolders (details).

Set permissions for parent folders and subfolders

Synology Photos only supports setting permissions for 1st and 2nd level folders. 3rd level folders and below inherit the settings of the 2nd level folders and require the appointed uses to have access to the 1st and 2nd level folders.

  • 1st level folders:
    Follow individual folder settings. To allow users to access subfolders, grant them at least Viewer permission. You can tick Apply privacy settings to all subfolders to keep the permissions consistent within the directory.
  • 2nd level folders:
    Allow individual permission settings, but users must have at least Viewer permission to the 1st level folder to access. You can tick Apply privacy settings to all subfolders to keep the permissions consistent within the directory.

  • 3rd level folders and below:
    Inherit permissions of the 2nd level folders, but users must have at least Viewer permission to the 1st and 2nd level folders to access.
    When setting permissions for lower-level folders, make sure to grant users access to all the parent folders. If users cannot access the parent folders, they cannot access the target folder either.
