Synology MailPlus Settings

Click your account in the upper-right corner and select Settings. In the pop-up window, you can configure the settings related to mail layout and organization, protocols for mail delivery (e.g., SMTP and OpenPGP), and more.

General

At Settings > General, you can configure the following settings related to mail layout and organization:

  • Items per page: Select the number of conversations to display per page.
  • External images: Select between Always display and Ask me before displaying. The latter option prevents malicious senders from exploiting externally linked images.
  • Split pane mode: Select between Two columns and Three columns according to your preference.
    • For two columns, you can further select the format to display messages: One line without preview, One line with preview, and Two lines.
  • Conversation view: Choose whether to turn on the conversation mode. In the conversation mode, messages are grouped with all their replies.
  • Language: Select the display language.
  • Display density: Select the display density of the conversation list.
  • Mark messages as read: Select how long it takes for a message to be marked as read after it is opened.
  • Send cancellation period: Select an amount of time to recall a message.
  • Set mailbox as Archived: Select a mailbox to store archived messages.
  • Reply from the recipient address the message was sent to: When you make a reply, the system will automatically set your email address as the one where you receive the message. This feature only applies to email addresses specified at Settings > SMTP.
  • Enable keyboard shortcuts: Tick to manage messages using keyboard shortcuts.
  • Enable hover actions: Tick to perform the following actions by hovering the cursor over messages: archive, delete, mark as read, and add as a Synology Calendar task.
  • Disable displaying the mailbox information of the message: Tick to disable showing mailbox tags in the upper-right corner of messages.
  • Codepage: Select the language to use when combining multiple attachments into a .ZIP file. Please select the language the filenames are in.
  • Delete mail in Trash: Select from the drop-down menu to delete trash messages received before a specific time.
  • Delete mail in Spam: Select from the drop-down menu to delete spam received before a specific time.
  • Archive mail in Inbox: Select from the drop-down menu to archive inbox messages received before a specific time.
  • Clear Trash on logout: Tick to empty Trash every time you sign out of Synology MailPlus.
  • Clear Spam on logout: Tick to empty Spam every time you sign out of Synology MailPlus.
  • Do not allow creating events in Synology Calendar from dates (Dates will not be highlighted): Tick to disable creating events in Synology Calendar for the dates written in messages.
  • Use signature: Tick to set a signature for your outgoing messages. Select an account to use the signature and edit it in the text field.
  • Default Text Style: Select the font style, size, and color.

Theme Customization

At Settings > Theme Customization, you can choose a theme from the built-in templates and background pictures.

Auto Reply/Forward

At Settings > Auto Reply/Forward, you can configure the following:

  • Enable auto forwarding: Tick to automatically forward messages to another email account.
    • Forward to: Enter the email account you want to forward your messages to.
    • Keep original mail: Determine whether to keep the original messages.
  • Enable auto reply: Tick to reply automatically.
    • Reply time: Set a time frame during which the auto-reply is active.
    • Subject: Use the template directly or customize your auto-reply subject.
    • Message: Use the template directly or customize your auto-reply content.
  • Click OK to save the settings.

Mailbox

At Settings > Mailbox, you can add new mailboxes, as well as edit, delete, and share existing mailboxes.

If you want to hide a mailbox, tick the checkbox under Hide.

Shared Mailbox

You can share personal mailboxes with internal users/groups to centralize the communication over a specific project.

To share your mailboxes with others:

  1. Right-click the mailbox you want to share on the left panel.
  2. Click Share on the menu.
  3. Select users/groups to share with.
    • To add a user/group, click Add.
    • To remove a user/group, click Delete.
  4. Assign each user/group access permissions to the shared mailbox:

    (the creator of the shared mailbox)
    • View, manage, and reply to messages in the shared mailbox.
    • Manage the shared mailbox and all the sub-mailboxes.
    Manage
    • View, manage, and reply to messages in the shared mailbox.
    • Create, delete, and rename sub-mailboxes.
    • Delete the shared mailbox.
    • Share the shared mailbox with other users/groups and assign access permissions.
    Read/Write
    • View, manage, and reply to messages in the shared mailbox.
    • Create sub-mailboxes.
    Read only
    • View messages in the shared mailbox.
  5. Click OK to save the settings.
  6. The system will mark the shared mailbox with a group icon and send the intended users/groups an invitation to access the mailbox.

Note:

  • When users with the read/write or higher permission reply to messages in the shared mailbox, their replies will be visible to those who share the same mailbox.
  • When a sub-mailbox is created under a shared mailbox, users will have the same permission on the sub-mailbox as on the shared mailbox by default. You can change the permission on the sub-mailbox afterward.

To view mailboxes shared to you:

At Settings > Shared Mailbox, you can see the mailboxes shared with you and the subscription status.

  1. Go to Settings > Shared Mailbox.
  2. You can change the subscription status of each shared mailbox:
    • Under subscription (with a check sign): The shared mailbox will show up in the Shared Mailbox section on the left panel.
    • Out of subscription (without a check sign): The shared mailbox will not show up on the left panel.
  3. Click OK to save the settings.

Filter

At Settings > Filter, you can create, edit, and delete filters to make email management easier. Incoming messages that meet the criteria will be marked or labeled according to your filter rules.

To create a filter:

  1. Click Add.
  2. Fill in at least one criterion and click Continue.
  3. Tick the desired checkboxes so the matched messages will be automatically marked or moved to the specific mailboxes.
  4. Click OK to save the settings.

Note:

  • All filters are case-insensitive.
  • Separate multiple keywords with space. Only messages that match all the keywords will be fetched.
  • To filter with a keyphrase (i.e., a multiple-word term), enclose it with quotation marks (""), such as "local cuisine recipe". If you have two or more keyphrases, you can type OR between them, such as "local cuisine recipe" OR "traditional home-style meals".
  • When the keyword or the keyphrase is made up of Chinese/Japanese/Korean characters and contains no space, only messages that match exactly will be fetched.

Priority Mailbox

At Settings > Priority Mailbox, you can set up a priority mailbox to display messages from various mailboxes or labels for centralized management.

  1. Tick the Enable priority mailbox checkbox.
  2. Click Edit to specify the following:
    • Section: Select a Mailbox or a Label to fetch messages from.
    • Display: Select All to display all messages in the mailbox or under the label; select Unread to show unread messages only.
    • Show up to: Set up the maximum number of messages to display.
    • Hide when empty: Select to hide the section when there are no new messages.
  3. To reorder the sections, click and hold a section and drop it to the desired position.
  4. Click OK to save the settings.

SMTP

At Settings > SMTP, you can add additional SMTP servers or edit existing ones. Synology MailPlus Server will be automatically set as the default SMTP server. No settings can be edited except for your Sender name.

You can use other SMTP servers to send messages in Synology MailPlus. For example, you can add the Google SMTP server to send messages via your Google account in Synology MailPlus.

To add an SMTP server:

  1. Go to Settings > SMTP.
  2. Fill in the following information:
    • SMTP server: Find the SMTP server from the help articles or tutorials of your email service providers.
    • SMTP port: The port number will be automatically updated to the required value for SMTP connections over SSL/TLS. By default, port 587 is for SMTP connections over TLS, and port 465 is for SMTP connections over SSL. If you tick none of the SSL and TLS checkboxes, the standard port used for SMTP connections is 25.
    • Authentication required: Tick the checkbox if your SMTP server requires authentication.
      • Username: Enter your email address.
      • Password: Enter your email password.
    • Secure connection (TLS) required: Tick the checkbox to secure connections with TLS certificates.
    • Secure connection (SSL) required: Tick the checkbox to secure connections with SSL certificates.
    • Sender email: Enter your email address. Please note that if it does not match the email address entered in Username, your messages may be marked as spam.
    • Sender name: Enter a sender name (also called "from" name) that can help your recipients recognize you.

POP3 Fetch

At Settings > POP3 Fetch, click Add and enter a custom POP3 server or use a predefined one to fetch messages to Synology MailPlus. To further ensure effective management, you can even set a mailbox, to which all the incoming messages from a specific server (e.g., Gmail) will be sent.

Note:

  • When messages fetched via POP3 are sent to any mailbox other than Inbox, filters will not be applied.
  • Emails fetched via POP3 are retrieved from other servers through the client side. Therefore, MailPlus Server cannot perform any security scan on these emails.

OpenPGP

OpenPGP (Pretty Good Privacy) is a key-based encryption technology used for email encryption.

At Settings > OpenPGP, you can enable OpenPGP, manage OpenPGP keys, and adjust related settings.

To generate OpenPGP keys:

  1. Tick Enable OpenPGP and click Key Management.
  2. Click Generate to generate a new key pair.
    • Name: Enter a name as you please.
    • Email: Enter your Synology MailPlus account.
    • Passphrase: The passphrase is used to encrypt and decrypt your private key.
  3. Click OK to generate a pair of public and private keys.

To manage OpenPGP keys:

  • Public key: Click Export to export the public key and give it to the sender who should encrypt messages for you.
  • Private key: The private key is used to decrypt messages sent to you. Please keep it to yourself.
  • If you need to send others encrypted messages, click Import to import their public keys from a file or text input.

Notification

At Settings > Notification, you can install extensions to your browser to receive push notifications from Synology MailPlus.

To enable push notifications:

  1. Click Install browser extension to pair Synology MailPlus with your browser.
    • For Chrome: Click Install Now to install the Chrome extension and sign in to your Google account.
    • For Safari: Click Allow to authorize the notification service.
  2. After the installation, you can return to Synology MailPlus to specify which mailboxes, labels, and shared mailboxes need push notifications.
  3. Click Send a test message to see if the settings are correct.

Blacklist/Whitelist

At Settings > Blacklist/Whitelist, you can set up a blacklist or whitelist to block or allow messages from specific addresses/domains.

To add an email address or a domain to the blacklist/whitelist:

  1. Click Add in the Blacklist or the Whitelist page.
  2. Enter the email address/domain that you want to blacklist or whitelist.
  3. Click OK to save the settings.

To edit an email address or a domain on the blacklist/whitelist:

  1. Click on the email address/domain and click Edit.
  2. Click OK to save the settings.

To remove an email address or a domain from the blacklist/whitelist:

  1. Click on the email address/domain and click Delete.
  2. Click Yes in the confirmation dialog box.
  3. Click OK to save the settings.

Note:

  • The maximum number of total items in the blacklist and the whitelist is 10,000.
